1. Who is responsible

Digitrust Technologies Company Limited is the data controller for personal information collected through this website and our sales, support and marketing activities. We handle personal information in line with the Data Protection Act, 2012 (Act 843), which is overseen by the Data Protection Commission of Ghana.

When you use our products to store information about your own customers, staff or patients, you are the data controller for that information and we process it on your behalf. See our Data protection page for details.

2. What we collect

• Contact details you give us, such as your name, phone number, email address and company
• Account details, such as your username and role
• Billing details, such as invoices and payment records (we do not store full card numbers)
• Messages you send us, including enquiries, feedback and job applications
• Technical information, such as your device, browser, IP address and pages visited
• Product usage information, such as features used and error reports

3. How we use it

• To provide, support and improve our products and services
• To reply to enquiries and give quotes
• To send invoices and collect payments
• To keep our systems secure and prevent fraud
• To send product updates and, where you agree, marketing messages
• To meet our legal obligations

4. Our legal basis

We process personal information because it is necessary to perform a contract with you, because you have given consent, because we have a legitimate interest in running and improving our business, or because the law requires it, in line with the Data Protection Act, 2012 (Act 843).

5. Who we share it with

We do not sell personal information. We share it only with:

• Service providers who help us run our business, such as hosting, email, SMS and payment providers, under contracts that protect your information
• Professional advisers such as lawyers and auditors
• Authorities, when the law requires it

If information is transferred outside Ghana, we make sure it is protected to the standard required by Ghanaian law.

6. How long we keep it

We keep personal information only as long as needed for the purpose it was collected, or as required by law. For example, we keep financial records for the period required by Ghanaian tax law, and we delete unsuccessful job applications after 12 months unless you ask us to keep them.

7. Your rights

Under the Data Protection Act, 2012 (Act 843), you can:

• Ask for a copy of the personal information we hold about you
• Ask us to correct inaccurate information
• Ask us to delete information we no longer need
• Object to direct marketing at any time
• Complain to the Data Protection Commission of Ghana

8. Security

We protect personal information with access controls, encryption in transit, regular backups and staff training. No system is completely secure, so please tell us immediately if you suspect a problem.

9. Children

Our products and services are designed for businesses and are not directed at children under 18. We do not knowingly collect their personal information.

10. Changes to this policy

We will post any changes on this page and update the date above. Significant changes will be communicated to account holders directly.
